Transaction Coordination Services – From Contract to Close
CWRE provides structured, deadline-driven transaction coordination from the moment a contract is fully executed through successful closing.
All files are managed within the CWRE Transaction Control Center (TCC) to ensure accuracy, compliance, and consistent communication throughout the transaction lifecycle.
Services are administrative and compliance-based in nature and do not include negotiation, drafting of offers or counteroffers, or providing legal or real estate advice.
Contract Intake & File Activation
Upon receipt of a fully executed contract, CWRE initiates a structured file activation process to ensure timeline accuracy, document completeness, and coordinated communication among all parties.
• Review executed contract for completeness, required disclosures, and brokerage compliance requirements
• Create a detailed transaction timeline outlining all contractual deadlines
• Open and activate file within the Transaction Control Center
• Introduce transaction coordinator to client(s), agent(s), lender, escrow, and title
• Distribute executed contract to all relevant parties
• Confirm escrow deposit has been received and obtain receipt
• Confirm inspections are scheduled within contractual timeframes
• Submit required documents for brokerage compliance
Active Transaction Management
CWRE maintains ongoing coordination to ensure the transaction progresses smoothly and all contractual obligations are met within required timeframes.
• Maintain consistent communication with all parties regarding status updates and outstanding items
• Confirm buyer has submitted a complete loan application
• Verify appraisal has been ordered and follow up for results
• Monitor underwriting progress through loan commitment and clear to close
• Ensure title commitment, lien search, survey, and estoppel (as applicable) are ordered and delivered
• Deliver transaction-related documents to client(s) as received
• Order home warranty and coordinate invoice submission to title company
• Obtain preliminary settlement statement
• Confirm closing disclosure is delivered to buyer within required timelines
• Obtain and deliver HOA/condo association documents, when applicable
• Confirm association application submission and approval, when required
Pre-Closing & Settlement Coordination
As closing approaches, CWRE ensures all final requirements are completed and verified to maintain schedule integrity.
• Monitor transaction to ensure closing remains on schedule
• Send distribution authorization to title company
• Provide buyer with general utility transfer information
• Confirm final walk-through arrangements
• Verify closing date, time, and location
• Confirm lender closing package has been received by title
• Submit final compliance documents to brokerage
Scope & Limitations
CWRE provides transaction coordination and compliance-based administrative services related to a fully executed real estate contract.
The following remain the responsibility of the licensed real estate agent and/or broker:
• All negotiations
• Offer preparation and counteroffers
• Amendments and contract drafting
• Pricing strategy
• Legal interpretation or advice
Services do not include general administrative or agent support tasks such as marketing, listing preparation, research, lead management, cold calling, or non-transaction-related activities unless separately agreed upon in writing.
